REGISTRATION & AUDITION PROCEDURES 2016 – 17

ONLINE REGISTRATION
- All registration will be done online. After District auditions are complete, each school director will go to www.missouribandmasters.org and register your school and all students that intend to audition for state on December 3.
- When registering students, include the student’s home address, phone number and email address. This information would become vital in the event of a cancellation due to weather. Do not enter the school address/phone or your email address.
- Register for BOTH All State Band and All State Jazz Band auditions on the MBA website.
- Schools will pay for both All-State Band & All-State Jazz registrations with ONE check payable to Missouri Bandmasters Association.
DEADLINE FOR REGISTRATION
- DEADLINE TO REGISTER students will beNovember 22, 2016. Up until that date you may go back into your school account and add, delete, or edit your school and student information.
- At midnight on November 22, 2016 the registration process will close.
PAYMENT OF AUDITION FEES / LATE FEES / ENTRY CORRECTION FEES
- The audition fee is $15.00 per audition and you must pay for all students that have been registered. If you register 8 students and only 2 actually come on December 3, you will still owe $120.00 for all that have registered. This is consistent with the district and state solo/ensemble festival procedures.
NO CASH REFUNDS will be made on the day of All-State auditions. If your school issues you a check to pay for the auditions, please make sure it is for the correct amount.
- There will be a $25.00 fee assessed to any late entry or correction in any part of the registration. This fee will be assessed to each correction. It is a huge undertaking to make adjustments to this process after the deadline. This fee will be due on the day of the auditions just like the regular fee.
- Purchase orders in lieu of payment are not accepted by mail or at the audition site. Make checks payable to Missouri Bandmasters Association, Inc. and submit at audition registration in Columbia. CHECK-IN on AUDITION DAY
- On December 3, only directors/school representatives will need to check in.
- Upon check in, directors/school reps will be handed a folder with their students’ registration forms and randomly generated audition numbers, your school’s information to verify, an invoice for any fees due, and any other pertinent information.
- The director/school rep check-in will run from 8:30 a.m. – 11:00a.m. on December 3.
PRELIMINARY AUDITIONS
- The actual preliminary auditions will begin at 9:00 a.m. Encourage your students to go into the audition room when they are ready. All the judges feel that a good audition is a good audition, whether it is at 9:00 am or 1:00 pm. Don’t let them sit around and wait! Starting auditions on-time and eliminating down time between auditions is essential for the day to run efficiently.
- The clarinets will once again be using a different procedure for auditions. Please read the “clarinet procedures” section on the MBA website. It appears under All-State Band audition procedures.
- After the preliminary audition in a particular room is finished, please instruct your student to report to the commons area at Hickman High School to see if they are called back.
CALL BACKS
- Call backs will be posted using Student Audition Numbers. Make sure students watch for specific details regarding the location and start time of the call back auditions. After the call backs are completed, have your student once again report to the commons area. Students that finish at the top of their section will be called into the office and be asked if they would like to play in the band, orchestra, or maybe the jazz band. Their name will be announced over a loudspeaker twice and if they do not report in a short amount of time, a coin will be flipped to determine their placement.
- MOST, but not ALL, instruments will have Call Back Auditions. It is important to realize that this also changes from year to year. Once judges have decided if Call Back Auditions are needed for their instrument, we will make an announcement. Please be patient as the day progresses. We make every attempt to be accurate and efficient; however, we do not want to make errors at any point in the audition day process.
- Inclement Weather Policy: Review the policy in case inclement weather. The policy is posted on the MBA website.
MSHSAA ELIGIBILITY
Please read the following statements in regards to eligibility and home school associations. This policy was developed in conjunction with the Missouri State High School Activities Association.
- Missouri Bandmasters Association does not allow home school associations or affiliate registered schools to audition for placement in an all-district honor ensemble or all-state honor ensemble.
- Missouri Bandmasters Association follows all MSHSAA By-Laws regarding eligibility and responsibility for supervision.
- The all-district/all-state ensembles are culminating events, sponsored by the ‘organization’ involving MSHSAA member schools, much like MSHSAA district and state music festivals.

Clarinet Audition Procedures
Missouri All-State Band Clarinet Auditions

Background: The past thirty plus years have seen major changes in the Missouri All-State Band audition process. The addition of the Honorable Mention Band, the use of winds in the Missouri All-State Orchestra, plus the increase in the number of students auditioning have been just a few of the demands put upon the process. As a result of these demands and the need to deal with more students efficiently and accurately, the procedure for clarinet auditions will be as follows:
- There will be three Preliminary Rooms open at 9:00am with two or more judges in each room.
- At approximately 9:45 am, the Prelim Rooms will take a short break to begin posting callbacks. These will be posted in the lobby and on the projector screen.
- The Call-Back room will begin auditioning as soon as possible am in the Little Theater with three new judges. As soon as the prelim rooms have posted their first list of call backs these rooms will resume first round auditions. Additional call-backs will be posted periodically throughout the afternoon. The final call-back sheet will be labeled as such.
- Students that have completed their audition in the Prelim Room need to periodically check the call-back list in the commons area. Just because they were not called back in the first list does not mean they will not be called back at all!! Keep checking the call-backs until the final call back list has been posted.
- Once the Prelim Rooms are finished and all students have auditioned a final call-back list will be posted. At that time any students NOT called back on any list will be excused and may leave.
Additional notes: Directors please advise your students to proceed to a prelim room in a timely fashion beginning at 9:00am. Also advise them to be available in the commons area to check those call-back lists early and often.

Recorded Audition Procedure
- Record audition in ONE TRACK (no editing) on a CD that can be played in a stereo, or Windows computer. Please test the CD to make sure it plays both ways. You may record multiple times, but the final recording that is submitted must be on a SINGLE track, UNINTERRUPTED, and ALL-INCLUSIVE.
- Use ONE CD per audition. Students who are performing in multiple auditions must use separate CD’s for each audition.
- Identification of CD: On the CD, write in this order:

4.There should be NO TALKING whatsoever on the recording. Make sure all music is in the proper order and ready to go before beginning the recording.
5.Record the material required in the order it was given in the instructions. Do not stop the recording during the audition – percussionists need to have all equipment set up and ready to make changes quickly.
6.Students may use music on all recorded material. No memorization required. This includes scales as well as prepared etudes.
7.Students auditioning for more than one ensemble or with auditions on multiple instruments MUST provide their director with an order of preference if they are chosen for more than one ensemble (including All State Choir), and/or if they make the band on more than one instrument. The director will need to send this list with the CD recordings. THIS PREFERENCE LIST IS MANDATORY FOR RECORDINGS TO BE ELIGIBLE FOR CONSIDERATION IN THE AUDITION PROCESS.
8. Directors will be required to submit a statement of authenticity verifying that their students have produced the recordings in one through track and their identity is confirmed.
9.Payment: $10 per audition. Checks should be endorsed to MBA. No P.O’s are allowed. No Credit cards are allowed. If you are a school who has paid in advance, please indicate on signature form.
10.Mailing instructions will be sent out if the live auditions are cancelled. The window of submission will be posted. DO NOT SEND RECORDINGS FED -EX. Please make sure your method of mailing will be deliverable to a P.O. Box address.
11.Violations in the recording process that would cause the recording to be disqualified would include but not limited to:
Talking on recording
Non-through performance (recording stops and restarts prior to completion)
Missing verification form with Director signature.
Missing payment
Missing audition material

Recorded Audition Mailing Procedure
1.DIRECTORS: PLEASE SEND ALL OF YOUR STUDENT'S RECORDINGS (CONCERT AND JAZZ BAND) IN ONE MAILING TO:

2. Mailing MUST be postmarked no later than announced date to be accepted.
3. Include $15 per audition. Checks should be made payable to: Missouri Bandmasters Association. No P.O.'s or credit cards will be accepted. Do not send cash.
4. If a student DID NOT pre-register for All State auditions through the MBA website, you must pay the $15 audition fee plus an additional $25 late fee for a total of $40 per audition. Directors should submit the additional student's name, instrument, mailing address, phone number and email address.
5. Include the Director Verification of Authenticity Form with recorded auditions. (form can be accessed through the MBA website)
6. Include list of student preferences for those auditioning on more than one instrument or for more than one ensemble with recorded auditions. This list is REQUIRED for recordings to be eligible for consideration.
